Board Meeting Minutes
January 12, 2002

Call to Order:

The call to order was given at 3:20 p.m. Members present included Wade Godfrey, Terry Daniel, Nancy Schultz, Patty Davis, Nina Tartakoff, Richard Kemnitz and Robin Near. The agenda was approved.

Treasurer’s Report:

Nancy reported that as of 12/31, after hall rent paid, we have approximately $3,880. She will contact Kevin Walsh, accountant, and request that he assists with income tax preparation.

Committee Reports:

Membership: Nina informed us of total membership status; approximately 150 as of 12/31. However, this does not include many people who will pay their membership when classes begin this month. She continues to keep two email lists; one of members and another of individuals who take classes and are interested in the club but are not necessarily current members.

Discussed the new option of giving members the chance to earn free dance classes in exchange for opening/closing the hall during classes. Several people have already volunteered. Robin is in charge of facilitating and training the volunteers.

Program: Patty Davis stated she would be registering people for dance classes, which begin on Monday & Wednesday, January 14th, & 16th.

Old Business:

Membership advantages—The board has been discussing the advantages of membership. We came up with the following which will be reviewed and posted on the website: access to video library, reduction in class fees, right to vote to determine the structure of the club and membership involvement gives the club support.

We also discussed the possibility of member rate reduction to our major events such as the Starlight Ball. An example to offer a $5.00 discount via email to members but advertise the event for full price. We all agreed that the Social Activities Chair’s input is important, regarding these suggestions.

Also discussed was the possible increase/reduction in monthly dance cost admittance; it was suggested, but not voted on, to offer members $3.00 and non-members, $5.00, at the door.

Members discussed the class “rate increase”, which was previously in place but because of a misprint, the amount was mistakenly decreased. Members agreed that the correct cost would be published for the next set of dance classes. If a member complains about the discrepancy, then an explanation will be given. The current class cost is $7.00 for members; $8.00 for non-members.

Lease Update—Nothing new to report. Bill Mudd & Andy Grady from the Northern Lights Council of Dancers are negotiating with the FNS Borough.

Music Library—The board had previously approved $300 to be spent on the purchase of music for the monthly dances. Wade & Terry will select and order music next week, for the club.

New Business:

Katya’s February Workshop: The Program Committee representative, (Patty) will contact Isabel Mudd about additional dance time slots available. The suggestion was made and favored, to offer workshop participants, free admittance to the monthly Friday night dance. The club will reimburse the committee for Katya’s travel expenses.

The Publicity Chair had expressed concerns about lack of communication between the board members and chairs. Those present agreed that communication could definitely improve and will improve when the chairs are added to the executive board. Wade will respond to the Publicity Chair’s concerns in this matter.

Board Meetings: Lately, there has been confusion regarding the date and time the board meets. It was agreed that the second Saturday of the month, from 3-5pm, would be the new and consistent board meeting time; and will be posted on the website.

Treasurer’s Replacement Regrettably, Nancy Schultz will be leaving Fairbanks in June. The board will post for her replacement by the end of February.

Legal Update:

Wade shared the latest legal documents. The club recently gave the defense our witness list. We made a “request for discovery and responded to the defenses. They did not respond to our request. There will be a settlement conference on 1/17 at the courthouse. All board members plan to attend.

The by-laws discussion was tabled for the next meeting.
