BOARD MEETING MINUTES
FEBRUARY 28, 2003

CALL TO ORDER: The meeting was called to order at 6:35 pm. The following members were present: Terry Daniel, Jeanne Daniel, Jim Robb, Richard Kemnitz, Vita Kukurs, Michael Smith, Terri Babers, Patty Davis and Henri Etta Rexroad. The approval of last month's minutes was postponed and tonight's agenda was approved.

TREASURER'S REPORT: Patty supplied all members present with a copy of the register report from 1/1/03 through 2/28/03. The balance as of 2/28/03 was $7,520.62. Patty also reported that the Northern Schools CD has been added to the Denali State Bank CD.

COMMITTEE REPORTS:

PROGRAM: Patty reported that Monday night classes are being well attended, whereas Wednesday classes are for no discernible reason rather sparsely attended.

COMMUNICATIONS: Terri explained that no banner was made for the Starlight Ball due to the possibility of a name change. It was noted that Delta has a ball by the same name just a week prior to ours. When contacted by Terry they expressed willingness to change their name. The omission of a notice of the ball in the North Star Weekly or at the Shoppers Forum was reported. It is Terri's opinion that display ads are not particularly effective, whereas the banner is a good draw.

MEMBERSHIP: Vita reported 133 members, of which 56 are current on dues. There has been considerable confusion due to the membership year changing from Jan-Dec to Sept-Aug. Presently all current members owed $10.00 as of Jan. 1, '03. Any new members owe $15.00 (each individual can make the cost-comparison between taking classes with or without becoming a member). As of Sept. 1, '03 and continuing through the membership year everyone will owe $15.00. Terry suggested an ad hoc committee be appointed to address the need for more efficient interface between the program and membership committees. Richard, Patty, and Vita agreed to serve in that capacity.

SOCIAL ACTIVITIES: Copies of Debbie's Starlight Ball report were distributed. Appreciation was expressed for all volunteer work and thoughts were solicited for the improvement of next year's ball. It was stressed that any planned changes of venue, name, or date of the ball should be decided early enough to avoid time constraints. Financially the ball was a "break even" event, which is always the goal.

FACILITIES: Jeanne, as out-going chair of this committee, expressed the opinion that the responsibilities of opening the dance hall for lessons, dances, and practices are easily accomplished. Bruce has indicated that he would be interested in helping with these tasks. It was pointed out that another key to hall will be needed for the new chair.

OLD BUSINESS:

IRS STATUS: Our accountant will be providing Patty with instruction re: non-profit taxes due March 15, '03. She has already sent 1099 forms for both Jerry and Rulen.

BYLAW REVISIONS: Terry suggested that this subject be kept as old business since there is need for significant discussion.

SPEAKERS/SOUND SYSTEM: Terry reported that new system is working great in all areas (so far the Starlight Ball and dance hall). The problem experienced at the ball was due to the Polynesian dancers' CD. Since there was no charge for their performance, Terry has offered to fix the CD as a token of appreciation.

COMMITTEE CHAIR RESIGNATIONS: Jeanne is retiring as facilities chair and Debbie will be stepping down from responsibility for the yearly Starlight ball. They have both rendered exceptional service to the club and will be hard acts to follow…….but any and all are invited to give it a try!

NEW DIRECTORS' VISIONS: These again have been deferred.

NEW BUSINESS:

TANGO WORKSHOP: Frank and Janice were approached by the club about having a tango workshop here in Fairbanks. There was discussion and many questions were posed by members about details. Henri Etta agreed to contact Frank and Janice and get a clearer picture of the their plans.

POLICY FOR SINGLES AT LESSONS: It was suggested that a list of "angels" be compiled to help alleviate the problem of supplying partners for singles wanting to take lessons. Partners are not guaranteed, but singles are encouraged to attend the first two classes in the hopes that a partner can be supplied.
