Board Meeting Minutes
April 20, 2002

Call To Order:

The call to order was given at 2:10 p.m. Members present included Wade Godfrey, Linda Gilhuly, Robin Near, Patty Davis, Abe Camp, Jeanne Daniel and Richard Kemnitz.

The agenda and last month’s minutes were approved.

Treasurer’s Report:

Nancy was absent but her replacement, Patty Davis was there. Patty has not received the treasurer’s information at this time. To alert membership of the change in treasurer; Wade will submit an announcement to the e-news, commending Nancy Schultz for a job well done and welcoming her replacement.

Committee Reports:

Membership—Richard reported for Nina that there are 105 club members and 174 individuals who receive the e-news. Regarding the e-news, those present expressed that it needs to be available by Wednesdays, instead of Fridays. Richard also mentioned the new list serve and asked for suggestions.

Communication—Linda read Teri’s report. Terri has been requesting a budget so her committee would have funds available for advertising needs. The board feels that because legal issues are still not settled, it would be best to wait to approve a budget until fall classes begin. The board encouraged the committee to continue to look for new ways to advertise and to estimate what advertising costs may be, for a full year.

Program—Abe reported that dance classes were going well, however, the Social Ease classes had lower than normal attendance. Abe also stated Jerry Blemke may only teach Mondays or Wednesdays beginning in the fall. He will find out about dance certification, what it involves and what credentials other local instructors have.

Members shared ideas of how to get more singles involved and the possibility of a “refresher” dance class offered in the fall, for those who have been away.

Social Activities—Debbie Franchek recommended we hold one dance per month during the summer. Two dances will be held in May; the 10th & 17th. The following dances will be June 14, July 19 and August 16th. Regular Saturday practices ends on May 18th.

Old Business:

Posting club minutes on the web page—The board agreed to wait to post club minutes until legal matters are completely settled. The board feels it must be careful what information is accessible, at this time.

Legal update—Wade showed the advertisement the club purchased, commending the Zitos for their hard work and announcing their new “ballroom academy”. This is part of the legal agreement the board agreed to do. At this point, the club has done everything as the court ordered, but the Zitos still have not dissolved the “incorporated” club. The board agreed that Wade would contact our attorney and request the Zitos follow through immediately. A member asked what we would do if the Zitos showed up at an event at the dance hall. Linda reminded us that we are still covered by a letter from our attorney, requesting they stay away until legal matters are settled. If necessary, we then have the option of obtaining a restraining order. (A copy our attorney’s letter will be at the dance hall.)

New Business:

Policy for opening/closing-- The board decided that the best way to avoid confusion would be for Jeanne Daniel to write up a reasonable policy and share it with the board. The board also agreed that a responsible party who volunteers should be given the task on a “first come, first serve” basis.

Board/chair retreat—The board has planned a get-together with the chairs for over a year now; to determine and develop the responsibilities of each committee, to improve communication and to support each other. The meeting is planned for May 25th, 10 a.m. to 4 p.m. at Al & Robin Nears’ home. An additional get-together may be held in the fall with a more focused or “brain-storming” type of session.

Announcements: Wade stated that the Latino Del Norte Club requested the ballroom club perform a dance demo on May 5th at the Frontier Club on Ft. Wainwright.
