Call
To Order:
The call to order was given at 6:45 p.m. Members present included members Terry Daniel, Wade Godfrey, Robin Near; Nina Tartakoff, Richard Kemnitz, Al Near, Jeanne Daniel and Terri Babers.
Treasurer’s Report:
Patty supplied a written report. The current balance is $11,983.58.
Committee Reports:
Membership—Nina reported that those members that have paid annual membership from September to September and request reimbursement would be reimbursed. The current bylaws state membership goes from January to January. It’s the board hope that the new bylaws when they are voted in will facilitate smoother record keeping for the membership committee.
Communication—Terri Babers provided the committee’s detailed plan for the Fairbanks Symphony Ball. There was discussion about the benefits/drawbacks of our club providing $500 to co-host this event. According to Terri Babers, it was the communication committee’s suggestion to offer the club’s financial assistance. They are working very hard with promoting this event.
Program—It was reported that dance classes for next session are already posted. Jerry Blemke will be retiring from teaching at the end of the year; Rulon will take over all dance classes.
Facilities—Jeanne Daniel reported that volunteers are needed for Saturday practice.
Old Business:
Nomination of new club officers—Terri Babers has put forth the nomination request in the weekly e-news. She has volunteered to be the contact person for those wishing to serve the club in this important capacity.
New Business:
Articles/Bylaws voting results—From the 99 ballots that were mailed out; we have 65 for, 3 against and 1 abstained. We need one more vote to officially have 2/3rds positive vote to pass the new by-laws. According to Article 7, Section 1 of the current bylaws; “These bylaws may be amended only to improve the purpose & functionality of the Ballroom Dance Club, and may be amended at any time and only by 2/3rds vote of the entire voting membership, however that is achieved.” Our attorney stated that the club could extend the ballot return deadline to allow those members who didn’t vote, the opportunity. Wade Godfrey made the motion that we extend the limit for the bylaws vote until October 31st. Terry Daniel seconded.
If approved, the next step is to file the articles, approved bylaws, and appropriate paperwork with the IRS. Wade will contact members who haven’t voted. Those who want more information/clarification of the current bylaws need to contact board members.
